Common challenges

What slows scheduling down

  • Coordinating provider availability

Different providers have different schedules, appointment types, and availability.

  • Time-consuming intake scheduling

Administrative teams spend significant time coordinating initial consultations.

  • Cancellations and rescheduling

Schedule changes create unnecessary administrative work.

How Calyndr helps

Scheduling, coordination, and client records in one workspace

Provider-specific booking links

Each bookable clinician can have a personal page. A pooled page can rotate only the people who take new consultations.

Reschedule and cancel links

Clients manage supported changes from a private link — without creating an organization account. Keep diagnoses and chart notes in your clinical systems, not in Calyndr.

How scheduling works

From appointment type to confirmed booking

Clients pick a service, Calyndr applies availability and distribution rules, and the appointment is managed from your workspace and a private client link.

  1. Step 1

The client picks a visit type

Introductory consultation or follow-up — each with its own duration and notice window.

    Appointment type

  2. Step 2

    They see bookable providers

Hours, connected calendars, and existing appointments hide times that are already taken.

  3. Step 3

The session lands on one person

Assignment follows the appointment type’s staff list. Confirmations send when workspace email is configured.

Provider scheduling and appointment coordination

Personal links keep returning clients with the same clinician. A shared consultation type can rotate new requests. Calyndr stores booking contact details and appointment history so the front desk stays organized.

Questions

Does Calyndr claim HIPAA compliance?

No. Calyndr does not claim HIPAA compliance, BAA coverage, telehealth compliance, or medical-record features. Use it for scheduling, not charts.

Can returning clients skip the public consultation page?

Yes. Share a clinician’s personal booking link for follow-ups, and keep the pooled page for new consultations only.

Are group therapy classes included?

No. Capacity-based group sessions are not in the current product. Book one client to one staff member per visit.

Should we collect clinical information at booking?

No. Do not put diagnoses, treatment notes, or other sensitive clinical information into Calyndr. Booking collects the contact details needed to schedule the visit.
